Booking and cancellation terms for restaurant and meeting services for Groups

BOOKING TERMS

This agreement applies to group bookings of 10–100 persons. Private events and group bookings of more than 100 persons are always agreed separately.

If the number of participants changes, Hullu Poro Oy reserves the right to adjust the venue and the ordered catering according to the number of persons.

INVOICING TERMS

The minimum invoicing basis is the confirmed number of persons according to these terms.

PRELIMINARY ADVANCE BOOKING

• preliminary advance booking is valid for one week or as agreed
• preliminary advance booking is valid for 3 days when the booking date is within 60–31 days
• preliminary advance booking is valid for 0 days when the booking date is within 30 days

The booking becomes binding once it has been confirmed in writing by Hullu Poro Oy. The restaurant service booking is valid for the number of persons indicated at the time of booking, which the customer may adjust in accordance with the change terms.

CANCELLATION TERMS

• full cancellation of the event free of charge up to 31 days before the booking date
• if cancellation is made 30–14 days before the booking date, a cancellation fee of 50% will be charged
• if cancellation is made 13–0 days before the booking date, the full booking value will be charged

Cancellation must always be made in writing to the address below or by email to hotel@hulluporo.fi or sales@hulluporo.fi. The cancellation is considered effective at the moment the information has reached Hullu Poro Oy.

If the reserved restaurant service has not been cancelled or if changes in the number of persons have not been reported to Hullu Poro Oy as stated above, the invoicing will be based on the last confirmed number of persons.

CHANGE TERMS

• changes made 0–6 working days before the event will be charged 100% change fee
• changes made 7–13 working days before the event will be charged 50% change fee

Invoicing is based on the number of persons and services confirmed 14 working days before the event.

Hullu Poro Oy’s right to cancel the booking

In case of force majeure or any obstacle beyond the control of Hullu Poro Oy (e.g. fire or water damage), Hullu Poro Oy may cancel the booking. In such cases, the customer is entitled to a full refund of payments made. Hullu Poro Oy also reserves the right to cancel the booking if payments related to the reservation are not made on time.

APPLICABLE LAW

The parties aim to resolve any disputes arising from the agreement through mutual negotiations. If no agreement is reached, the customer may refer the matter to the Consumer Disputes Board or the District Court of Lapland. Finnish law shall apply.

DATA PRIVACY

The customer’s personal data will be registered in Hullu Poro Oy’s customer data system. The processing and disclosure of personal data complies with the Personal Data Act (523/1999). The customer has the right to access the data stored about them.

Hullu Poro Oy has the right to use registered address details for its own direct marketing and internal market and opinion research unless the customer prohibits this. The prohibition of the use of address details for the above purposes can be notified to Hullu Poro Oy by email at sales@hulluporo.fi. The data protection register description can be requested by email or phone using the contact details below.

Hullu Poro Oy is not responsible for changes beyond its control that occur after the publication of these terms.
