A booking becomes binding once Hullu Poro Oy confirms it in writing.
The reservation for the meeting room and catering services is valid for the number of participants specified at the time of booking. The client may adjust the number of participants up to two (2) weeks before the event. However:
A change of ±20% may be made one (1) week before the event, and
A change of ±10% may be made two (2) days before the event.
If the number of participants changes, Hullu Poro Oy reserves the right to modify the meeting room and ordered catering to match the updated number of attendees.
The minimum invoicing basis is the number of participants confirmed according to these terms.
Each meeting room booking is subject to a base fee, to which a per-person charge will be added based on the confirmed number of attendees.
All cancellations must be made in writing to the address below or by email to hotel@hulluporo.fi.
The cancellation is considered valid once Hullu Poro Oy has received notice of it.
If the booked meeting room or catering services are not cancelled—or if Hullu Poro Oy has not been notified of changes in the number of participants as outlined above—the invoice will be issued based on the most recently confirmed number of participants.
A booking may be cancelled free of charge up to 21 days before the start of the reservation.
In all other cases, reasonable cancellation fees will apply as follows:
If the cancellation is made later than 21 days but earlier than 14 days before the start of the reservation, a 50% cancellation fee of the total booking amount will be charged.
If the cancellation is made later than 14 days before the start of the reservation, the full amount of the booking will be charged.
In the event of force majeure, Hullu Poro Oy reserves the right to cancel the reservation. In such cases, the customer is entitled to a full refund of any payments made.
This agreement is governed by Finnish law.
Customer personal data will be registered in the Hullu Poro Oy customer database.
The processing and disclosure of personal data are carried out in accordance with the Personal Data Act (523/1999).
Customers have the right to review the information recorded about them.
Hullu Poro Oy reserves the right to use registered contact information for its own direct marketing and internal market or opinion research, unless the customer objects.
Customers may prohibit the use of their contact details for these purposes by notifying Hullu Poro Oy via email at sales@hulluporo.fi.
